Before your review call
Eleven things worth gathering. None of them needs to be perfect.
-
Your systems
List each system that holds project records, and how far back each one goes.
-
Office headcount
The number of desk staff in your office. Field staff are counted separately.
-
Your mix of work
Roughly how much of your work is private, how much is public-agency and how much is federal.
-
One typical client contract
Have one on hand. We check it for confidentiality and ownership clauses.
-
Prior data licenses or exclusivity
Tell us if you have ever licensed records, or agreed to exclusivity with anyone.
-
Who signs and who reviews
Who signs for the firm, and which lawyer reviews contracts for you.
-
The insurance question
Ask your professional liability broker, in writing, whether licensing your records affects your coverage.
-
Exports from your systems
Gather exports of the record types you want to include. Your team runs the exports. Nobody needs your logins. You do not need to clean them. Archeon’s cleaning process removes identifying details, and your team reviews the result. Since what year? Note the year each system’s records start, because the oldest continuous record in a system sets its range.
-
A reviewer for the cleaned files
Pick someone on your team to approve every cleaned file before a buyer sees it.
-
Optional: design files
If you want to include them, gather your standard details and templates and Revit families first, then model-derived schedules, then any unbuilt work. The default listing needs none of this.
-
California firms: employee data
If you have California employees, tell us whether the records include their personal data. The CCPA applies to it and we take extra care.
