What we collect
When you submit the intake form on this site, we receive your name, work email, firm name, office staff, years of records, systems used and any message you choose to add. We also record the page the form was sent from. The site does not ask for project records or client files.
How we use it
We use this information to reply to your request and to plan a data review. We do not use it for anything unrelated to that conversation.
The client portal
Firms that work with Archeon use a client portal at app.archeondata.com. This section covers what the portal handles.
Account emails and sign-in links. We use your work email to create your account and to send sign-in links and account notices. A sign-in link works for a short time and for one sign-in.
What the portal stores. The portal stores your inventory answers, cleaned samples of your records, deal documents such as the engagement letter and license, and the signed record of each cleaning job. It does not store your original files or the cleaned files delivered to a buyer.
Cleaning files. When your firm licenses its records, Archeon acts as a processor for the cleaning. Your files pass through a sealed, temporary process and are never stored. Your team approves every cleaned file before a buyer sees it, and the cleaned files go straight to the buyer. Archeon keeps only a signed record of what was done: file fingerprints, the rules applied and your approvals. A data processing agreement, an addendum to the engagement letter, covers every cleaning job.
Access logging. We log who signs in and who opens or downloads a file, with the date and time.
Buyers and NDAs. When a buyer asks to see more of a firm’s summary, the buyer accepts an NDA first. We keep a record of each acceptance.
Retention. How long we keep cleaned samples, deal documents and signed cleaning records is set in your engagement letter. When that period ends, we delete them. Your original files are not kept after a cleaning job, because the job is destroyed.
Your file contents. Archeon does not sell the contents of your files and does not use them to train its own AI.
Email delivery
Form submissions are delivered to Archeon by email through Resend, an email delivery service. Resend processes the message on our behalf to deliver it. Its own terms and privacy policy apply to that processing.
No sale of your information
We do not sell the contact information you submit. We do not share it with AI buyers or other third parties. If a data review leads to a license, any disclosure of your firm’s records is governed by a written agreement that your counsel reviews.
Retention
We keep submissions for as long as needed to respond and to keep a record of our correspondence. You can ask us to delete your submission at any time.
